About the Role: 

We are looking for an exceptional Administrative Officer who will be a key member of our Business Support team working at the Scotland Head Office (G3 7PY) in Glasgow and will play a vital role in providing high level support to the Scotland Leadership Team who in turn offer support and guidance to over 85 Children, Young people and Family services throughout Scotland. 

You will be predominantly responsible for providing administrative support to members of the Scotland Leadership team as well as general support and flexibility to the wider office.

You will also be expected to deal with internal and external stake holders, be responsible for your own tasks and be confident and capable to lead on some of them.  Experience of providing a professional and confidential service while being adaptable within this role is essential. 

During covid times, we support agile / home working with the expectation to move back to our offices for the required hours, when the time allows. The working hours of this role are Monday to Friday 9am-5pm.

As an Administrative Officer, you'll be: 

  • Admin support to senior managers; this will include diary management, arranging meetings and general admin tasks.
  • Collating and updating records on a monthly/quarterly basis.
  • Data gathering and ability to present a variety of information in various formats to different stakeholders within a senior level.
  • Admin support including minute taking for both operational and HR meetings.
  • Ensure office supplies and services are maintained, raising Purchase Orders and following process for payment of invoices.
  • Assist manager ensuring any property issues are actioned.
  • Part of a team that is the first point of contact for visitors to the office providing a professional reception service.
  • Work as part of the business support team, supporting colleagues with their allocated tasks and responsibilities

 

What You'll Bring: 

Our job description for the Administrative officer outlines the requirements of the role but the ‘must-haves' are: 

  • A minimum of 2 years' experience within a similar administrative role with excellent communication skills is essential.
  • Have experience of working with and providing administrative support to senior management on an ongoing basis, often with conflicting priorities.
  • Advanced IT Skills and experience of use of various IT systems including Microsoft Office 365 within the workplace – SharePoint, Word, Excel, Outlook and PowerPoint.
  • Good at prioritising and meeting deadlines with excellent organisation and planning skills.
  • You will be a confident communicator, able to converse with staff at all levels both internally and externally. You will be fully committed to working towards the best outcomes for children and young people.
  • Ability to handle confidential and sensitive data.
